if you can add the user to the same domain there is an option in excel where multiple users can make changes at the same time. there is also an option i believe to allow one person to "check out" the document at a time blocking all others.

but again you will need to add the person to the domain some how.

the RDP protocol inherently sucks.. my company uses thin client boxes and a citrix server. it works pretty well. especially when logging in from home.
Citrix makes some of the best VPN solutions out there... and they're a local company to me too!
