So at work we have a 150mb threshold limit in which after you pass that limit they suspend your send function until you can bring it down below 150 and then you have to go through a re-activation process. Now I go over this limit every few weeks, and sometimes a few times within one week depending on the amount and size of the e-mails I receive.

The problem with this is twofold. The first problem which causes me and everyone else to go over this limit is the fact that we need to keep our e-mails as documentation for various projects we work on. We need to keep important information for audit purposes and other reasons for atleast two years. If they were just e-mails then the problem wouldn't be so bad. the thing that really causes the problems are that most e-mails come with large files attached and or screen shots. This is what turns an e-mail into a monster and I receive many "monsters" a day.

The second problem with this is that it takes a while to see what I can get rid of, what I can archieve, and what I must keep current. While I am doing this I continue to receive e-mails and the senders have no clue that I cannot respond to them. So this causes a backlog and makes things that more frustrating. To make things even worse, they wind up notifying you that they are shutting your send functions off at around 3am so when you get in the office you are f*cked.

This shit really pisses me off. Anyone else have to deal with crap like that?

Save the emails to the hard drive...not that hard.

We don't use outlook we use Lotus Notes. Other than archieving them I don't know of any way to save them to the hard drive.

I have end users that complain about our mailbox limit as well. They get a message saying their box is over its limit and that they need to bring it down to size. The main thing I see is attachments. They like to attach all these spreadsheets, documents, etc to email and that 1 email can be the size of 50+ normal messages. They never understand that its better to put these files on a network share.

why not create a gmail account and just forward documents and mail there?

We don't have shared networks anymore for audit and control purposes. Also 95% these e-mails with files come from people who wouldn't have access to the same shared network storage places anyway.

well we use DOCS OPEN here and theres a feature that intergrates with outlook that allows you to export email messages/ & attachments to our docs storage system.
